Signing in

How do I sign in?

Both apps let you sign in with a code sent to your mobile, or with your work email and password.

  1. Enter your Organisation and Mobile number.
  2. Tap Get code in Rounds, or Send code in Rounds HQ.
  3. Enter the six-digit code from the text message.
  4. Tap Verify and sign in.

To use your email and password instead, tap Use email and password in Rounds or Sign in with email and password in Rounds HQ.

What do I enter as “Organisation”?

Your organisation’s short name in Pebflo: letters, numbers and hyphens, with no spaces — for example, acme-distribution. Your manager or Pebflo administrator can tell you what it is.

My sign-in code didn’t arrive, or it has expired

  • Check the number: enter the 10 digits of your mobile number, without +91. It must be the number your organisation has on record. To correct it, tap Change.
  • Codes expire after five minutes. When the timer on screen runs out, tap Send a new code.
  • Still nothing? Sign in with your email and password instead, or ask your manager to check the mobile number on your account.

I forgot my password

The apps can’t reset passwords. Sign in with a mobile code instead, or ask your manager or Pebflo administrator to reset your password.

Which permissions does Rounds need?

  • Location — required. Records where you clock in and check in, and your route during a shift. Choose “Allow all the time” on Android, or “Always” on iOS.
  • Camera — required. For visit, outlet and survey photos.
  • Notifications — optional. For task updates and reminders.

If you declined a permission and your phone no longer asks, turn it on in your phone’s Settings. Rounds shows what is missing under Profile, then Location & privacy.

Rounds says “Setting up your workspace”

The first time you sign in, Rounds downloads your outlets, forms and tasks so you can work offline. Keep a network connection until it finishes. If it fails, tap Try Again.

How do I start my shift?

  1. Turn on your phone’s location, then open the Home tab.
  2. Wait for All set — ready to clock in. If Rounds asks for location access, tap Grant location access.
  3. Press and hold Hold to Clock In until your shift starts.

Rounds records where you clocked in.

Why does Rounds need location “all the time”?

So your route keeps recording while your screen is locked or another app is open. Android and iOS only allow that with “Allow all the time” (Android) or “Always” (iOS).

Tracking runs only during your shift and stops when you clock out. Your organisation decides whether it is on for your account and how often a point is recorded — you can see both under Profile, then Location & privacy. Our Privacy Policy explains exactly what is recorded.

How do I take a break?

Tap Take Break on the Home tab, and Resume when you are back. Location tracking pauses during a break; Rounds records only where the break starts and ends.

Check out of any outlet visit before you start a break.

How do I end my shift?

  1. Check out of any outlet visit you are still in. If you are on a break, tap Resume first.
  2. Tap End Session.
  3. Review your day — visits, distance travelled, breaks, and anything still waiting to upload.
  4. Tap End session to confirm.

This records your clock-out time and stops location tracking for the day. Anything not yet uploaded stays on your phone and uploads when you have signal.

I forgot to clock out

Your shift stays open until it is ended, and location tracking keeps running while it is. Clock out as soon as you notice, then tell your manager — they can correct the recorded hours.

My route has gaps, or Rounds uses a lot of battery

  • Tracking runs only during a shift, at the interval your organisation has set.
  • Exclude Rounds from battery optimisation (battery saver) in your phone’s settings. Otherwise the phone may stop tracking and leave gaps in your route.
  • Keep location turned on, with access set to “all the time”.

Rounds: visits and outlets

How do I check in to an outlet?

  1. During your shift, open the Home tab. Tap Check In on your next visit, or Find an outlet for a visit that isn’t planned.
  2. Pick the outlet under Nearest to you — outlets within 100 metres — or search by name or code.
  3. Check the distance shown, then tap Confirm Check In.

You can’t check in while you are on a break.

It says I’m too far from the outlet

You need to be within 200 metres of the outlet’s saved location. Stand at the shop front, wait a few seconds for the GPS reading to settle, and try again.

If the outlet’s pin is wrong, tap Check In Anyway and add a short reason. The visit is flagged for review, and you will need to explain the location difference before you check out. Ask your manager to correct the outlet’s location.

What can I do during a visit?

  • Visit media: take photos or record a short video, with a caption if it helps.
  • Survey forms: fill in the forms assigned to the outlet. Required forms must be complete before you can check out.
  • Remarks: write a note, or pick a quick one such as “Store closed” or “Owner unavailable”.
  • Follow-up: add a reminder to come back to something later.
  • Call the outlet, if it has a phone number on file.

Tap Minimize to use the rest of the app. The visit stays open until you check out.

How do I check out?

  1. Complete any required survey forms. The visit shows how many are done.
  2. Tap End visit & check out, then Confirm checkout.

Photos and videos upload when you check out. With no signal, they wait on your phone and upload later.

How do I add a new outlet?

  1. Open the Customers tab and tap Add Outlet. You can also tap Create New Outlet while checking in.
  2. Confirm the location: move the map until the pin sits on the shop, or search for the address. Without internet, type the address — you can pin it on the map later from the outlet’s page.
  3. Take a photo of the shop front.
  4. Fill in the outlet name, locality, market, category, owner’s name, mobile number and outlet code.
  5. Tap Save outlet.

Outlet codes are three letters, a dash and four numbers, like OUT-1042 — your supervisor can confirm the right one. Outlets added offline upload when you are back online.

I can’t find an outlet

The Customers tab lists the outlets assigned to you. Search by name, code, locality or address, or filter by category. If an outlet is missing, ask your manager to assign it to you — or add it, if it is new.

Rounds: offline and syncing

Can I work without a network connection?

Yes. Clocking in and out, visits, photos, surveys and new outlets are saved on your phone and upload automatically when you are back online.

Tasks can be read offline, but completing them and adding comments need a connection.

How do I see what hasn’t uploaded yet?

Go to Profile, then Offline data & sync. It lists anything still waiting to upload, and shows All caught up! once everything has synced. Pull down to try again.

Something is stuck in sync

  • Open Offline data & sync and pull down to retry.
  • Don’t uninstall Rounds — uninstalling deletes work that hasn’t uploaded.
  • If an item keeps failing, note what it is and email support from Profile, then Help & feedback.

Why can’t I sign out?

Rounds won’t sign you out while work is still uploading, because signing out removes your work from the phone. Wait for syncing to finish. After you sign out, you will need to sign in again and wait for your data to download before you can carry on working.

Rounds: tasks, reminders and reports

Where are my tasks?

Go to Profile, then Tasks, or tap Tasks on the Home tab during a shift. Open a task to see its details and checklist or add a comment, and tap Mark Complete when it is done. Any sub-tasks have to be finished first.

What are reminders?

Private notes and follow-ups for yourself. They are saved only on your phone and never sent anywhere, so they don’t move to a new phone. Find them under Profile, then Reminders, or add one during a visit with Add reminder.

How do I see my working days?

Open the Reports tab and choose a period. You will see days worked, total hours, the average per day, distance travelled, visits done and forms submitted. Tap a day for its details.

What notifications will I get?

Task updates and your own reminders. Allow notifications when Rounds asks, or turn them on under Profile, then Notifications.

Rounds HQ for managers

How do I create a task?

  1. Open the Tasks tab and tap New task.
  2. Add a title and, if needed, a description, priority, due date and labels.
  3. Under Assign to, choose people or a position.
  4. Tap Create task.

How do I find and update tasks?

Switch between Open, Overdue, Today, High priority and Done. Search by title, assignee or label, or use Filter and sort to narrow the list by assignee. To act on several tasks at once, select them and use Actions.

How do I see my team’s progress?

On the Tasks tab, tap your team’s summary for this week to open Progress by person. It shows each person’s open, overdue and done-this-week tasks, counting the tasks you created or hold.

Where is my field team right now?

Open the Reports tab. Field team, today lists who is on the roster in your markets. Choose a market or Everyone, and switch between Show map and Show list. Pins appear once people start sending their location.

How do I see one person’s field report?

Tap a person on the roster. Their Field report shows days and time worked, visits, distance travelled, forms and outlet coverage for the period, with a list of working days. Tap a day to see its breaks and visits, and open that day’s route from there.

A route is missing or looks wrong

  • No location points: tracking may have been off for that person, or the session was too short to record a point.
  • Points that came from an app that fakes GPS are not drawn. If every point was faked, no route is shown.
  • Gaps usually mean the phone stopped tracking, often because of battery optimisation — see My route has gaps.

It says “not available for your role”

Your role doesn’t include that part of Rounds HQ. Ask your Pebflo administrator for the tasks permission or field report access.

Account and privacy

How do I sign out?

Go to Profile and tap Sign out. In Rounds, wait until your work has finished uploading first.

Can I use a dark theme?

Yes. Under Profile, turn on Dark Theme in Rounds or Dark mode in Rounds HQ.

What does Rounds record about my location?

Only what your shift needs, and only while it is running. Profile, then Location & privacy shows whether tracking is on for your account and how often a point is recorded. The Privacy Policy lists everything in detail.

How do I get my data corrected or deleted?

Your organisation controls your work data, so ask your HR team or Pebflo administrator first. For anything else, see your choices and rights in the Privacy Policy.

In Rounds, go to Profile, then Help & feedback and tap Email support. The message is pre-filled with your name, email address, field executive ID and app version, so we can find your account — you can edit it before you send it. In Rounds HQ, tap Email support under Profile.

It helps to include:

  • what you were trying to do;
  • what happened instead, and roughly when;
  • a screenshot, if you can take one.
